Terms & Booking Conditions
Clear, transparent, and fair policies regarding permits, payments, and cancellations for your peace of mind.
1. Gorilla & Primate Trekking Permits
Mountain Gorilla permits (Bwindi Impenetrable and Mgahinga Gorilla National Parks) and Chimpanzee Habituation/Trekking permits (Kibale Forest) are issued exclusively by the statutory government body, the Uganda Wildlife Authority (UWA).
Upon your booking confirmation, Kibona Safaris immediately purchases and secures your personalized permits directly with UWA. In accordance with UWA regulatory statutes, permit fees are 100% strictly non-refundable and non-transferable once allocated in your name by the national park authorities.
2. Booking Deposits & Payment Schedule
To confirm your private safari itinerary, a deposit of 30% of the total land safari price plus 100% of gorilla/chimpanzee permit costs is required at the time of booking.
The balance of 70% is due 45 days prior to your arrival date in Uganda. For expeditions booked within 45 days of departure, full payment is required upon itinerary confirmation. Payments may be made via international bank wire (USD) or major credit cards via our secure merchant gateway.
3. Transparent Cancellation & Refund Schedule
If unforeseen circumstances require you to cancel your journey, notice must be given in writing via email. The following cancellation schedule applies to the land portion of your safari:
- 60+ Days Prior to Arrival: Full refund of land package minus 10% administrative banking charges and non-refundable permits.
- 45 – 59 Days Prior to Arrival: 75% refund of land package minus non-refundable permits.
- 30 – 44 Days Prior to Arrival: 50% refund of land package minus non-refundable permits.
- Less than 30 Days Prior: No refund applicable. (We strongly require comprehensive travel cancellation insurance).
4. Mandatory Travel & Medical Evacuation Insurance
It is an absolute condition of booking that all travelers possess comprehensive international travel insurance covering emergency air evacuation (e.g., AMREF Flying Doctors), hospitalisation, medical expenses, luggage loss, and trip cancellation. Kibona Safaris coordinates with medical emergency teams in Uganda but does not assume medical liability.
5. Primate Health & Ethical Bush Etiquette
Mountain gorillas share over 98% of human DNA and are vulnerable to human respiratory infections. In accordance with UWA rules, visitors showing signs of active infectious illness (flu, colds, or coughs) will not be allowed to trek gorillas. A minimum distance of 7 to 10 meters must be respected at all times. Flash photography and single-use plastic disposal in national parks are strictly forbidden.
